This policy explains how refunds and appointment reschedules work for the VisaD service fee — and, importantly, the reasoning behind each rule so you know exactly where you stand. It forms part of our Terms & Conditions. Our aim is to be fair and transparent: you are fully protected when we cannot deliver the service, while the policy also reflects the real work and costs we commit to on your behalf from the moment you order.
This policy applies to the VisaD service fee only — the amount you pay us to prepare your application and to book and monitor your visa appointment. It does not cover fees paid to third parties such as embassies or Visa Application Centres (see "Third-Party Fees" below).
Why this applies: Our core service is securing your visa appointment. Appointment availability is controlled entirely by the embassy or Visa Application Centre and can be very limited or released in bursts. If no suitable slot opens within 6 weeks, we have not delivered the main outcome you paid for — so you are fully refunded and carry none of the risk for something outside your control.
Why this applies: From the moment you order, our team begins work on your file — reviewing your details, preparing your documents, and actively monitoring appointment systems on your behalf, often many times a day. The 20% we retain reflects this administrative and monitoring work that has already been carried out for you. Because the cancellation is for a reason on your side, this portion covers the effort we have already committed; the remaining 80% is returned to you.
Why this applies: When your appointment is confirmed, a specific slot is reserved in your name at the embassy or Visa Application Centre. These slots are scarce, time-limited and non-transferable — securing yours removes it from availability for other applicants, and the appointment fees and full preparation work are already committed at that point. For this reason a refund is not possible after confirmation.
Why this applies: Rescheduling a confirmed appointment means we must release your existing slot, re-monitor the embassy or Visa Application Centre systems, and secure and re-confirm a new appointment for you. This repeats the appointment-booking and monitoring work already done, and the fee of approximately £55 covers that additional effort.
Refunds apply to the VisaD service fee only. Any fee paid directly to a third party — such as an embassy, consulate, or Visa Application Centre (VFS Global, TLScontact, BLS International) charge — is non-refundable by VisaD.
Why this applies: These fees are paid directly to the relevant authority or centre, not to VisaD. Their own refund rules apply, and we cannot refund money that we do not hold or control.
Approved refunds are returned to the original payment method and are normally processed within 7 to 14 business days.
Why this applies: Refunds are returned through the same payment provider used for your original payment, and banks and card networks require a few working days to complete the transfer back to you.
